2. Service Fees and Subscriptions
VTransaction Expert charges various fees for our payment processing services, which may include monthly subscription fees, transaction fees, and other service charges as outlined in your merchant agreement.
Monthly Subscription Fees
For monthly subscription fees, the following refund policy applies:
- Cancellation Within 14 Days: If you cancel your subscription within 14 days of initial signup or renewal, you may be eligible for a prorated refund for the unused portion of your subscription.
- Cancellation After 14 Days: If you cancel your subscription after 14 days of initial signup or renewal, you will not be eligible for a refund of the current month's fees, but your subscription will continue until the end of the current billing cycle, at which point it will not renew.
Transaction Fees
Transaction fees are charged when processing payments through our system. These fees are non-refundable once a transaction has been processed, regardless of whether the underlying transaction is later refunded, charged back, or otherwise disputed.
Setup Fees and One-Time Charges
Any setup fees or one-time charges are generally non-refundable, as these cover the costs of establishing and configuring your merchant account.
3. Refund Process for Service Fees
To request a refund for eligible service fees, you must:

4. Processing Customer Refunds
As a payment processor, VTransaction Expert facilitates refunds between merchants and their customers. This section outlines the policies for processing refunds to your customers.
Merchant Refund Capabilities
As a merchant using our services, you have the ability to process refunds to your customers through our merchant portal or API. Here's how refunds are handled:
- Full Refunds: You can issue full refunds for the entire transaction amount.
- Partial Refunds: You can issue partial refunds for a portion of the transaction amount.
- Refund Timeframe: Refunds can typically be processed within 180 days of the original transaction date, though this may vary based on the payment method.
- Refund Processing Time: Once initiated, refunds typically take 5-10 business days to appear in your customer's account, depending on their payment method and financial institution.
Transaction Fee Refunds
When you process a refund to your customer:
- The original transaction amount will be returned to your customer.
- The original transaction fee charged by VTransaction Expert is not refundable.
- A separate processing fee may apply for processing the refund, as specified in your merchant agreement.
5. Chargebacks and Disputes
Chargebacks occur when a customer disputes a transaction with their card issuer instead of requesting a refund directly from you. In the event of a chargeback:
- The transaction amount may be automatically reversed and returned to the customer.
- A chargeback fee will be assessed as specified in your merchant agreement.
- Original transaction fees are not refunded in the event of a chargeback.
- VTransaction Expert will provide documentation and support to help you respond to and contest unwarranted chargebacks.
6. Termination of Services
If you decide to terminate your account with VTransaction Expert:
- Any pending transactions will be completed before account closure.
- Any funds in your merchant account will be transferred to your designated bank account according to the normal settlement schedule.
- No refunds will be issued for transaction fees associated with processed payments.
- Prorated refunds for unused subscription periods may be issued at our discretion, in accordance with Section 2 of this policy.
7. Modifications to the Refund Policy
VTransaction Expert reserves the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting on our website. Your continued use of our services following any changes constitutes your acceptance of the modified Refund Policy.
